1. What this policy covers

This policy explains how WLF Club handles information collected through this website at wlfclub.com, including any subdomain we use for booking. It covers four things and only four things: browsing these pages, submitting the contact form, using the free Quick Read tool on the home page, and booking a call through the scheduling calendar embedded on our booking page.

WLF Club is a wellness, sports medicine, training, and recovery club located at 5724 W Vickery Blvd, Fort Worth, Texas 76107.

2. What this policy does not cover

Your care records are handled separately

Anything you share with WLF Club as a patient or client, during a visit, on an intake form, in a treatment plan, or in your chart, is protected health information under HIPAA. It is governed by WLF Club's Notice of Privacy Practices, which is a separate document you receive from the clinic. This website policy does not replace it, summarize it, or change it in any way.

The short rule: if you typed it into this website, this policy applies. If you told it to a provider, the Notice of Privacy Practices applies.

This policy also does not cover other companies' websites and apps. If you follow a link from here to Instagram, TikTok, Facebook, or Google, you are on their service and their privacy policy governs what happens there. The booking calendar on our booking page is provided by our scheduling platform; what you enter into it is covered in section 5.

3. Information we collect

Information you give us on purpose

If you fill in the contact form, we receive the name, email address, and message you typed. That is all the form asks for. If you call or text the number on this site, we receive your phone number and whatever you say or write, the same way any business does.

Information collected automatically

When any browser requests any page on the internet, the server that answers necessarily sees the request. For this site that means the web host receives your IP address, the page you asked for, the time you asked for it, and your browser's user agent string. This is standard server logging and it is how the internet works, not a tracking choice we made. We use it to keep the site up and to investigate abuse. We do not build profiles from it and we do not combine it with anything else.

Information the Quick Read does not send us

The Quick Read is the three tap tool on the home page. It runs entirely in your browser. Your answers and the read it produces are calculated on your own device and are not transmitted to WLF Club, stored on our servers, or saved anywhere after you close the tab. If you choose to press the button that texts your read to us, your phone's own messaging app opens with the message already written, and nothing is sent until you press send in that app. That choice is yours and it is the only way a Quick Read result reaches us.

4. What this site does not do

Most privacy policies are vague here because most sites do all of this. Ours does not, and it is worth being specific, because specificity is the only part of a privacy policy you can actually hold us to.

If we ever add analytics, this page and its effective date will be updated before the change goes live, not after.

5. Third parties this site actually touches

We would rather name the short real list than gesture at a long hypothetical one.

Google Fonts: The two typefaces on this site load from Google's font servers, so Google receives your IP address and browser information as part of that request. On every page except the booking page and the contact page, this is the only third party contacted when a page loads.
Our web host: Serves these pages and keeps the standard server logs described above.
Our booking and scheduling platform, on the booking page: Our booking page embeds the live scheduling calendar from our scheduling platform, so opening that page contacts the platform's servers, which receive your IP address and browser information the same way any embedded page does. Anything you enter into the calendar, such as your name, contact details, and the time you pick, is collected by that service on our behalf so we can schedule and manage your call.
Google Maps, on the contact page only: The contact page embeds a live Google map, which loads from Google and is subject to Google's privacy policy. Every other page on this site shows a still image of the map instead, precisely so that no third party is contacted.
Email and phone: Messages you send reach us through ordinary email and phone service, carried by the providers both of us use.

6. How we use information

We use what you send us to answer you, to schedule and manage a visit, to keep records of our correspondence, and to keep this website working and secure. That is the complete list. We do not use it for advertising and we do not enrich it with data bought from anyone.

We share information from this website in three situations, and no others:

With the service providers named above, only to the extent they need it to do the job we hired them for.
When the law requires it, such as a valid subpoena, court order, or lawful request from a government authority.
To protect the safety, rights, or property of a person, our staff, or the club, where we believe in good faith that disclosure is necessary.

We do not sell personal data, we do not share it for cross context behavioral advertising, and we do not process it for targeted advertising. Under Texas law those are three distinct things, and the answer to all three is no.

8. Your privacy rights in Texas

The Texas Data Privacy and Security Act gives Texas residents the right to ask a business to confirm whether it is processing their personal data and to get a copy of it, to correct errors in it, to delete it, and to opt out of its sale or of targeted advertising. We honor these requests regardless of whether the Act's thresholds technically apply to a club our size, because arguing about an exemption is a poor way to treat someone asking a fair question.

To make a request, email info@wlfclub.com or call (817) 349-7815 and tell us what you want. We will respond within 45 days, and we will tell you if we need longer. Because this site collects so little, the honest answer to most requests will be that we hold nothing beyond the message you sent us.

If we deny a request, you may appeal by replying to our decision. If we deny the appeal, you may submit a complaint to the Texas Attorney General.

If you live outside Texas, write to us anyway. We will apply the same process.

Requests about your care records are a different process, because those are governed by HIPAA rather than by this policy. Call the club and ask for medical records.

9. Children

This website is meant for adults and is not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child has sent us information through this website, contact us and we will delete it.

Minors are treated as patients at the club with a parent or guardian involved, which is a clinical matter governed by HIPAA and by Texas law, not by this website policy.

10. Retention and security

We keep messages you send through this website for as long as we need them to answer you and to keep a reasonable record of our correspondence, and then we delete them, unless a law or a professional recordkeeping obligation requires us to keep them longer. Server logs are kept for a short operational period and then rotated out.

We take reasonable steps to protect what you send us. We will also be straight with you: no website, no email system, and no business anywhere can promise perfect security, and any policy that claims otherwise is not telling you the truth. Please do not send detailed health information through the contact form or by email. Call us instead, or bring it to your visit, where it is handled under HIPAA.

11. Do Not Track and Global Privacy Control

Some browsers send a Do Not Track or Global Privacy Control signal. Because this site does no tracking, sets no cookies, and sells no data, there is nothing here for those signals to switch off. We honor them by default, in the only way that means anything, which is by not doing the thing in the first place.

12. Changes to this policy

If we change how this website handles information, we will update this page and change the effective date at the top before the change takes effect. We will not make a change first and document it later.
